Position Summary:

The Communications and Office Coordinator plays a key role in supporting daily operations and ensuring a positive experience with all of our wonderful hockey families. This person will manage client communications, assist with program registration and scheduling, coordinate logistics for camps and clinics, and provide general administrative support to the coaching and management team.

KEY RESPONSIBILITIES INCLUDE:

Customer Service & Communication

Serve as the main point of contact for families, players, and partner organizations.
Respond promptly and professionally to email and phone inquiries.
Manage program registrations, confirmations, and waitlists.
Provide friendly and knowledgeable support regarding program details, schedules, and policies.
Maintain excellent relationships with clients, demonstrating empathy and problem-solving skills.

Administrative Support

Assist with scheduling sessions, updating calendars, and coordinating ice times.
Prepare and distribute rosters, attendance lists, and program materials.
Support marketing efforts by drafting emails, social media posts, and newsletters.
Assist with invoicing, payments, and basic bookkeeping.
Maintain and organize company databases, records, and files.

Program & Event Coordination

Help organize logistics for clinics, camps, and events (check-in tables, signage, registration forms, invoicing).
Communicate with coaching staff to ensure smooth delivery of on-ice and off-ice programs.
Support with administrative tasks before, during, and after sessions.

QUALIFICATIONS:

Strong communication and interpersonal skills.
Organized and detail-oriented with excellent time management.
Experience in customer service, administration, and scheduling coordination.
Proficient in Google Workspace / Microsoft Office.
Positive, team-oriented attitude and ability to adapt in a fast-paced environment.

Job Details

Positions: Flexible Part-time to Full-time Hours

Location: Remote with occasional on-site work

Start Date: December 2025

Location: Kitchener-Waterloo & Surrounding Area

Compensation: Competitive hourly wage based on experience

What You’ll Do

Bring energy and enthusiasm to every session!
Deliver high-quality, on-ice instruction following the program designed by our Head Instructor.
Engage and motivate players while ensuring safety, fun, and skill development.
Provide feedback, correct errors, and help players improve their technique and confidence.
Follow procedures for smooth session flow (e.g. drills, safety).
Be a positive role model—professional, encouraging, and team-oriented.
Other duties as assigned by the Head Instructor.
